Overview: If an employee / staff's profile or contract has been incorrectly assigned to a group or you need to reassign it for any reason, this guide will walk you through the process within the platform. The method of reassignment depends on the current status of the employee / employee contract.
Tip: You can view the status and group the employee / employee contract is assigned from the table.
Reassigning a Staff / Employee Contract Based on Its Status
Employee Contract on 'Hire - draft' status
- Navigate to People > Onboarding.
- Select the employee's name with a 'Hire - draft' status that you want to reassign to a different group.
- Go to the Role information step and choose the new group from the dropdown list.
- Note: The groups available in the dropdown are based on the group membership of the Hiring Manager. If your desired group is not listed, you may need to either reassign the requisition to a different Hiring Manager or add the current Hiring Manager to the target group.
- Click Continue to save your changes.
Employee contract on 'Awaiting review' status
- Navigate to People > Onboarding.
- Select the employee's name with a 'Awaiting review' status that you want to reassign to a different group.
- You will be taken to a Review page where you can choose to Withdraw, Request Changes or Invite Employee.
- If you wish to have the group correctly assigned before approving, click the Request Changes button.
- A pop-up modal will appear, allowing you to specify your requested amendments. Here, you can request that the user who submitted the employee contract for approval change the group assignment.
- Once done, click the Confirm button on the pop-up modal to finalise the action.
Approved Employee Contract
- Navigate to People > Onboarding or People > Staff.
- Select the employee's name with a 'Self enrollment - not started', 'Self enrollment - in progress', 'Self enrollment - completed, and all other progressing statuses after an employee contract has been approved -- that you want to reassign to a different group.
- You will be taken to the Employee's Profile page with the details showing on the upper right of the 'Profile' tab
- Click on the pencil icon of this container.
- A pop-up modal will appear, allowing you to change the group assignment of the employee.
- Note: The groups available in the dropdown are based on the group membership of the Hiring Manager. If your desired group is not listed, you may need to either reassign the requisition to a different Hiring Manager or add the current Hiring Manager to the target group.
- After making the necessary changes, click the Save button to apply them.
