Overview:
The hiring pipeline in Outstaffer lets you track and manage where each candidate sits in your recruitment process. Moving a candidate to a new status isn’t just cosmetic — it triggers internal workflows for our Talent Fulfilment team to take the right actions, like scheduling interviews or preparing contracts.
You can change a candidate’s status from:
The candidate table under each Job
The candidate’s profile
The ellipsis (⋮) menu, which lets you jump forward or backward between stages
Here’s what each status does and what happens behind the scenes 👇
🆕 New
This is the default status for all newly added candidates.
These are candidates who’ve either applied or been sourced and are waiting for your review.
No internal actions are triggered at this stage — it’s your opportunity to review profiles and decide next steps.
🔄 Interview
Move a candidate to Interview when you're ready to speak with them directly.
Our Talent Fulfilment team will be notified and will coordinate the interview schedule between you and the candidate.
This status indicates the candidate has passed the initial screening and is ready for deeper evaluation.
🛠️ How to update:
Click “Progress” or use the ellipsis menu and select “Move to Interview”.
📄 Offer
Select Offer when you’ve completed interviews and are ready to extend a position.
This tells our team to start preparing the employment contract and formal job offer.
The candidate will be moved into the Offer stage and begin onboarding if accepted.
🛠️ How to update:
Use “Progress” or select “Move to Offer” from the ellipsis menu.
💡 Make sure the candidate is already in the Interview stage before progressing here.
✅ Hired
Move a candidate to Hired once they’ve accepted the job offer.
This officially closes out their hiring journey.
Their profile will now be tracked under My Team in the platform.
🛠️ How to update:
Click the ellipsis menu and select “Move to Hired.”
❌ Rejected
Use Reject for candidates who won’t proceed further.
This status removes the candidate from active consideration.
Their details are still stored under the Rejected tab for auditing or future reference.

You can reject from the candidate table, profile page, or ellipsis menu.
🔁 Switching Between Stages
You’re not locked into a linear path.
If needed, you can move candidates backwards or skip stages entirely (e.g. go from “New” straight to “Hired”) using the ellipsis menu.
This gives you flexibility if a candidate has already completed certain steps outside the platform.
