How to Approve or Reject a Timesheet

Approve or reject your employees' submitted timesheets from Timesheets > Ready for approval. Account Owner and Hiring Manager users can do this when your company approves its own timesheets; otherwise the Outstaffer team approves them for you.

Review and approve the hours your employees submit each week, or send a timesheet back with a note if something needs changing. You can approve timesheets if your company approves its own and you're an Account Owner or Hiring Manager user. If the Outstaffer team approves for you, you'll see the timesheets but no Approve or Reject buttons.

  1. Open Timesheets. Select Timesheets in the menu. The Ready for approval tab lists every submitted timesheet waiting for approval, with the employee, country, date range and hours worked.

  2. Check the hours. Click a row to open the timesheet. It shows each day's entry type, time in, time out, hours and the employee's comments. Days the employee had approved leave are marked Leave.

  3. Approve. Click Approve, either on the row or inside the open timesheet.

  4. Or reject with a note. Click Reject. Type what needs changing in Notes from manager, then click Reject again. The employee sees your note at the top of their timesheet.

What happens next

Approved timesheets are locked and can no longer be edited. Rejected timesheets go back to the employee to fix, and return to Ready for approval when they resubmit.

Good to know

  • Timesheets are approved a week at a time.

  • Any Account Owner or Hiring Manager user at your company can approve any employee's timesheet. When a week is submitted, the employee's manager gets a notification.

  • Finance and Accounts users can't open Timesheets.

  • The All tab shows every timesheet and its status, including who approved or rejected it.

  • Use Search and Country to narrow the list, and Export to download timesheets as a Daily, Weekly or Monthly report.

  • If you have nothing to review you'll see You're up to date.
