How to Remove a User from a Group

Remove a user from a group at the user level or the group level. Removing a user removes their access to the group's records, and the platform blocks removal in some cases, such as when it is the user's last group.

Removing a user from a group removes their access to the records assigned to that group, such as requisitions, jobs, and employee contracts. You can remove a user at the user level or at the group level.

Remove at the user level

  • Go to Settings > Company Settings and open the User permissions tab.

  • Select the user you want to remove from a group.

  • Click the x icon against the group name you want them removed from.

  • Click Save.

  • Go to Settings > Company Settings and open the Groups tab.

  • Select the group from which you want to remove a user.

  • Click the bin icon to remove them as a member of the group.

  • Click Save.

Good to know

  • A user must belong to at least one group. You cannot remove a user from their only group, because they would lose access to all records in your company account. Add them to another group first.

  • A group with linked records must keep at least one member. If records are linked to the group, reassign them to a different group with active members before removing the last user.

  • Hiring Manager assignments are not removed automatically. If the user is the assigned Hiring Manager on a record, the assignment remains but they lose access. Reassign the record to a different Hiring Manager if needed.

  • Disabled users stay linked to their records. Their name shows as Inactive on each record until you reassign it.
