Every Outstaffer invoice fits into one of two tracks. Once you understand these two tracks, your bill becomes easy to read.
Track 1 — Subscription Track. This is what we agreed to bill you when you set up each employee. It's predictable, billed in advance, and uses an exchange rate locked at the start of the engagement. Your subscription invoice on the 10th of each month covers the following month.
Track 2 — Reconciliation Track. This is what actually happened with your payroll. Once we run the actual payroll for your employees in their local currency, we compare what we paid out to what we billed you in advance. Any difference is settled through credit notes (when we billed too much) or a debit invoice (when we billed too little).
Together, these two tracks ensure you only pay what was actually paid out on your behalf — predictably, with no surprises.
Quick rule: If a charge looks unexpected, ask yourself: am I looking at the subscription track (the contract) or the reconciliation track (what actually happened)? That single question usually points to the answer.
